By booking with Orchid Stays, you acknowledge and accept the following Terms and Conditions in full.

Identification

Valid identification (passport or driving license) must be presented at check-in.

Booking Confirmation

The booking confirmation email serves as both receipt of payment and booking confirmation.

Agreement

This legally binding agreement is between Orchid Stays and the guest, effective from the reservation date, outlining the rental of the residence for the agreed term and fee.

1. Booking and Payment

  • Full Payment: Due at booking, covering the entire stay. Credit card details will be retained for potential damages or additional costs.
  • Confirmation: Written confirmation will be sent upon receipt of payment.
  • Extensions: Subject to availability, with no additional fees for last-minute bookings.
  • Currency: All prices are quoted and must be paid in UK Pounds Sterling.
  • Age Requirement: Guests must be over 18 years old to book.
  • Long-term Stays: Stays over 4 weeks are invoiced in 4-week blocks. The first block is due at booking, with subsequent payments due every 28 days.

2. Holding Deposit

A £250 holding deposit may be required at our discretion. Refunds are processed within 5-10 days after checkout, subject to the property being left in good condition.

3. Cancellation Policy

  • Charges: Guests will be charged the total reservation cost if they cancel at any time. For stays longer than 28 days, cancellations must be made 60 days prior to the start date.
  • Non-arrivals: No refunds for non-arrivals.
  • Travel Insurance: Guests are strongly advised to purchase travel insurance.

4. Amendments to Bookings

  • Requests: Guests may request booking amendments, subject to availability and additional charges.
  • Early Termination: Must be confirmed in writing, and the property vacated by the new agreed check-out date.
  • Keys: Failure to return keys may result in charges for replacements.

5. Facilities and Services

  • No Removal: Items must not be removed or dismantled.
  • Wi-Fi: Provided free of charge, but connectivity is not guaranteed.
  • Extra Beds: Travel cots available at extra cost; must be booked 48 hours in advance.
  • Linen and Towels: Additional sets available at extra cost.
  • Maid Service: Weekly service available for stays of 2 weeks or more at extra cost.

6. Check-in, Check-out, and Keys

  • Check-in: From 4 pm.
  • Check-out: By 10 am.
  • Key Return: Late return of keys or permits incurs a £250 charge.

7. Damages and Additional Charges

  • Card Details: Held for potential damages or fines.
  • Cleaning Fees: Up to £250 for additional cleaning if necessary.
  • Damage Notification: Guests will be informed of any damages within 10 days of departure.

8. Liability

Orchid Stays is not responsible for theft, damage, or loss of personal belongings. Guests are advised to have appropriate insurance.

9. Law and Jurisdiction

These terms are governed by the laws of England and Wales, with disputes subject to their courts’ jurisdiction.

10. Termination by Orchid Stays

We reserve the right to terminate bookings for violations, including non-payment, nuisance behavior, or criminal activity, without providing alternative accommodation.

11. Injury or Loss

Orchid Stays is not liable for personal injury or loss of personal effects during the stay.

12. Rights of Access

Orchid Stays reserves the right to access the property for inspections, repairs, or emergencies.

13. Pets

No pets are allowed. A £250 surcharge applies if pets are found in the property.

14. Smoking

Smoking is not permitted inside the apartments. A £250 surcharge applies if evidence of smoking is found.

15. Complaints

Complaints must be reported within 24 hours of occurrence via email to bookings@orchid-stays.co.uk.

16. Information Accuracy

Information is provided in good faith but may change without notice.

17. Interest on Overdue Payments

Interest accrues on overdue invoices at 4% above NatWest Bank base rate.

18. Security of Tenure

Occupancies are serviced accommodations without rights of tenancy, exempt from security of tenure under the Rent Act.

19. Usage and Nuisance Behavior

Properties are for residential use only. Parties, loud music, or nuisance behavior are prohibited. A fee of £250 applies for violations, and eviction may occur.

20. Property Specifications

Apartment details may vary, and exact specifications are not guaranteed. Extra beds are available at additional cost, subject to agreement at booking.
